AgriFutures is looking for an email marketing/marketing automation platform to allow our organisation to deliver always-on, automated digital communications informed and optimised by automated data and insights.
This Request for Quote (RFQ) closes at 5pm AEDT on Monday 9 March 2026.
Background
AgriFutures Australia currently uses a marketing automation platform to deliver email communications, automated journeys, event communications and audience insights across multiple business units.
A recent internal user review identified that while the current platform is powerful, there are challenges related to:
- Ease of use and confidence for occasional users
- Template management and content production efficiency
- List management, identity resolution and data hygiene
- Accessible reporting and analytics for both non-technical and advanced technical users as well as integration with Power BI dashboards
- Governance, permissions and operational clarity
- Native alignment with the Microsoft ecosystem and Microsoft Dynamics (CRM).
This RFQ seeks a future-ready solution that balances enterprise-grade capability with usability, governance and long-term sustainability.
Service requirements
AgriFutures Australia is seeking an email marketing and marketing automation platform, supported by professional services, that enables scalable, secure and data‑driven communications across multiple brands and audiences.
The selected platform and service provider must enable AgriFutures Australia to:
- Deliver always-on, automated and personalised digital communications
- Support multi-brand, multi-audience engagement across B2C and B2B contexts
- Improve data quality, identity management and reporting consistency
- Reduce operational risk by improving governance, permissions and visibility
- Reduce reliance on a small number of technical specialists by providing a platform that is easier for a broader group of staff to use for day-to-day communications and reporting
- Maintain or improve access to granular engagement data for analytics and reporting.
Mandatory platform capabilities include:
- Email and content creation
- Automation and journeys
- Audience management and segmentation
- Data management and identity
- Reporting and analytics
- Third-party integrations
- Governance and permissions
- Security and compliance.

Making a submission
Respondents will be expected to provide:
- A detailed response of their proposed platform and service model and how this will meet the mandatory requirements of the RFQ
- A detailed budget – attachments may be included
- Examples of comparable organisations or implementations
- Details of any SLAs, response times for system issues, uptime guarantees and outage protocols
- Ongoing support and training model
- Capability and relevant experience.
Applications for this Request for Quote must be submitted prior to 5pm AEDT on Monday 9th March 2026 to the AgriFutures Contact (Sarah Ingold) via the Corporate Communications Coordinator, Anna Maskus at .
Selection will be awarded based on performance against the evaluation criteria outlined in the full RFQ document. AgriFutures Australia may shortlist respondents based on written submissions. Shortlisted respondents will be invited to present to the assessment committee as part of the evaluation process. The resultant Contract is expected to commence in May 2026.
Terms of reference
AgriFutures Australia uses standard form contracts and agreements for projects and research procured by AgriFutures Australia (please refer to agrifutures.com.au/legal). These contracts and agreements set out the terms on which AgriFutures Australia will engage successful applicants to carry out the project.
Applicants must be familiar with the contracts and agreements before submitting a response, and are advised to seek legal advice beforehand. These contracts and agreements have been developed to reflect AgriFutures Australia’s statutory and other procurement responsibilities.
If you require any amendments to the standard agreement, please complete the statement of non-compliance for each of the relevant clause. AgriFutures will then assess those requests. Applicants will be taken to have agreed to all clauses in the Service Provider
Agreement that are not referred to in a statement of non-compliance. The extent of any non-compliance will be a factor in AgriFutures Australia’s evaluation of the application.
