This Expression of Interest (EOI) is seeking applications from Professional Conference Organisers (PCO) to submit a proposal for the provision of services for the evokeAG. 2027 event.
Submissions for this EOI close on Friday 17 April 2026 at 5pm AEST.
Background
evokeAG. connects producers, startups, researchers, investors, corporates and government from Australia, the Asia Pacific and beyond, and is recognised for its highly curated delegate experience, non traditional conference formats, and strong emphasis on agrifood technology, innovation, investment and practical outcomes for producers.
The 2027 event will be delivered at the Adelaide Convention Centre on 16–17 February 2027 and will welcome approximately 2,000 delegates.
The appointed Professional Conference Organiser will work as a delivery partner to the internal evokeAG. team, supporting the physical delivery of the event while AgriFutures Australia retains responsibility for strategic direction, program and content, partnerships, and marketing.

Services required
Full service end-to-end PCO management services for evokeAG. 2027, including (but not limited to):
- End-to-end event project management
- Venue liaison and management with Adelaide Convention Centre
- Production and AV management across plenary, breakout and exhibition spaces
- Translation of established evokeAG. creative into physical environments
- Exhibition and activation delivery for partners, startups and feature zones
- Catering coordination, including premium food experiences
- Speaker logistics (travel and onsite management)
- Contractor and supplier procurement and management
- OH&S, risk and compliance management
- Budget management and financial tracking for third-party costs and PCO fees.
The appointed PCO will work as a delivery partner to the internal evokeAG. team. AgriFutures Australia will retain responsibility for:
- Overall strategic direction
- Program and content development
- Partner and sponsorship management
- Startup, Groundbreakers and ancillary programs
- Marketing, communications and registration strategy.

How to make a submission
Respondents will be required to include the following information in their proposal:
- Submission received by the closing date and time and in the required format
- Acceptance of the EOI conditions and participation on a good‑faith basis
- Demonstrated organisational capability and relevant experience delivering large‑scale, complex events
- Provision of a clearly defined proposed team structure (including experience, structure, clarity of roles and responsibilities) and governance model including (robustness of governance, reporting and escalation arrangements)
- Submission of creative concepts, floor plans/design concepts
- Submission of line-by-line budgets as required
- Declaration of conflicts of interest and confirmation of required insurances.

Terms of reference
AgriFutures Australia uses standard form contracts and agreements for projects and research procured by AgriFutures Australia (please refer to agrifutures.com.au/legal). These contracts and agreements set out the terms on which AgriFutures Australia will engage successful applicants to carry out the project.
Applicants must be familiar with the contracts and agreements before submitting a response, and are advised to seek legal advice beforehand. These contracts and agreements have been developed to reflect AgriFutures Australia’s statutory and other procurement responsibilities.
If you require any amendments to the standard agreement, please complete the statement of non-compliance for each of the relevant clause. AgriFutures will then assess those requests. Applicants will be taken to have agreed to all clauses in the Service Provider
Agreement that are not referred to in a statement of non-compliance. The extent of any non-compliance will be a factor in AgriFutures Australia’s evaluation of the application.
